Privacy Policy

ReelReady (available at https://www.reelready.xyz) is an AI coach that helps aspiring UGC creators practice short videos and improve toward their first paid brand deal. The service is operated by José Manuel Pereira de Almeida (NIF 215 012 267), a sole trader based in Portugal. In this policy, “ReelReady”, “we”, “us”, and “our” refer to this operator, who, for the purposes of the EU and UK GDPR, is the data controller of the personal data described here.

This policy explains what we collect, why, the legal bases we rely on, who we share it with, how long we keep it, and the rights you have.

To run the coaching service, we collect:

• Account email. We use passwordless magic-link sign-in, so we store the email address you sign in with.
• Practice videos and thumbnails you record or upload for scoring.
• Audio transcripts generated from those videos.
• AI-generated scores and feedback produced for each attempt, along with your progress over time.
• Plan and usage data, such as your current plan and how many videos you have analyzed.
• Basic technical and log data, such as your IP address, device and browser type, and timestamps, used for security and reliability.

Where the GDPR applies, we rely on the following legal bases (in brackets) for each use:

• To provide the coaching service and score your practice videos (performance of our contract with you).
• To store your attempts and track your progress over time (performance of our contract).
• To maintain, secure, debug, and improve the product (our legitimate interests in running a safe, reliable service).
• To send you sign-in links and essential account notices (performance of our contract).
• To send optional product or marketing email, where applicable (your consent, which you can withdraw at any time).
• To comply with legal obligations and enforce our terms (legal obligation and legitimate interests).

We do not sell your personal information, and we do not share it for cross-context behavioural advertising. We rely on a small set of vetted service providers (sub-processors) who process data only on our instructions and only to operate ReelReady. Your videos are sent to these providers solely to produce your feedback:

• Supabase — authentication, database, and private video storage.
• Deepgram — audio transcription of your practice videos.
• OpenRouter — large language model vision and text analysis that scores your attempts.
• Vercel — application hosting and content delivery.
• Resend — delivery of sign-in and account emails.
• Google Analytics — aggregate website usage analytics.

We may also disclose information if required by law, or to protect the rights, safety, and security of ReelReady and its users.

Some of our service providers are located in the United States and other countries, so your information may be transferred to and processed outside your home country, including outside the EEA/UK. Where we make such transfers, we rely on appropriate safeguards (such as the EU Standard Contractual Clauses) to protect your data.

We keep your videos, transcripts, scores, and related data until you delete a take or your account, after which we delete or anonymise it within a reasonable period (except where we must retain limited records to meet legal obligations). Deleting a take removes the underlying video and its associated data.

Depending on where you live, you may have the right to access, correct, delete, port, or restrict processing of your personal data, to object to certain processing, and to withdraw consent. If you are in California, you have the right to know, delete, and correct your personal information, and the right not to receive discriminatory treatment for exercising these rights; because we do not sell or share personal information, no “Do Not Sell or Share” action is required.

To exercise any of these rights, contact us through our contact page. We will respond within the timeframes required by applicable law (for example, within 30 days under the GDPR and 45 days under the CCPA). You also have the right to lodge a complaint with your local data protection authority.

We use essential cookies to keep you signed in — specifically your Supabase authentication and session cookies.

We also use Google Analytics 4 to understand how visitors use the site. It sets first-party analytics cookies (such as _ga) and sends usage data to Google, which processes it on our behalf. We do not use cross-site advertising cookies. You can opt out of Google Analytics using Google's opt-out browser add-on, manage cookies through your browser settings, and read more in Google's Privacy Policy.

If you visit from the EU, EEA, the UK, or Switzerland, we ask for your consent before any analytics cookies are set, and Analytics does not load unless you accept. Elsewhere, analytics loads by default.

ReelReady is not intended for children under 13, or under 16 in the European Economic Area. We do not knowingly collect personal data from children. If you believe a child has provided us data, contact us and we will delete it.

We protect your data with encryption in transit and store videos in private storage that is not publicly accessible. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

We may update this policy from time to time, and we review it at least once a year. When we make material changes, we will update the date above and, where appropriate, notify you by email or within the app.
